YOUR PRIVACY
Environmental Protection UK (hereafter ‘EPUK’) treats your privacy rights seriously. This privacy policy sets out how we deal with your ‘personnal information’, that is, information that could identify, or is related to the identity of, an individual.
WHAT PERSONNAL INFORMATION DO WE COLLECT?
Personal information we collect about you may include your name, postal address, email address/s, phone number/s. We do not collect “sensitive personal data” about you.
HOW DO WE COLLECT PERSONNAL INFORMATION?
We collect personal information about you when you interact with us; for example, when you become a member of EPUK or register for one of our events.
HOW DO WE USE PERSONNAL INFORMATION?
We use the personal information collected from you for these purposes:
- To communicate with you about our activities and services
- To provide activities and services to you
- For administration, planning and management of our organisation
- To monitor, develop and improve the provision and services
WHO DO WE SHARE YOUR PERSONNAL UNFORMATION WITH?
- Internally - to Board members and Officers to facilitate our contact with you
- HMRC - if you have agreed to Gift Aid
- International Labmate Ltd – if you have the appropriate EPUK membership
- If we have statutory duty to disclose it for other legal or regulatory reasons
HOW DO WE STORE YOUR PERSONNAL INFORMATION?
Your personal information is held on secure databases and only accessed by Board Members and Officers.
HOW LONG DO WE KEEP YOUR PERSONAL INFORMATION?
We need to keep your information so that we can provide our services to you. In most instances information about your membership will not be stored for longer than three years after you cease to be a member.
DO WE PROVIDE YOUR PERSONNAL INFORMATION TO OTHER PARTIES?
We will never sell your data to any third party nor will we share your details with other entities for marketing purposes.
PHOTOGRAPHS
Photographs may sometimes be taken of members and others for promotional purposes. Members and others will be asked whether there are willing to be photographed and their photos used for this purpose at the time the photograph is taken.
GIFT AID
Some donations you make will be eligible for Gift Aid. As part of this process EPUK is required to submit your details including your address to HMRC, and in asking us to make a Gift Aid claim you are giving us permission to use your personal details in this way.
HOW CAN YOU UPDATE YOUR INFORMATION?
The accuracy of your information is important to us. If you change your email address, or any of the other information we hold is inaccurate or out of date, please email EPUK at secretariat@environmental-protection.org.uk.
SUBJECT ACCESS REQUEST
You have the right to request a copy of the information we hold about you. Before we are able to assist with your request, we need you to confirm your identity and what data you require.
REMOVAL OF DATA
You have the right to request for your data to be removed.
AVAILABILITY AND CHANGES TO THE POLICY
This policy is available on the EPUK website. The policy may change from time to time. If any material change/s are made EPUK will highlight the changes in our monthly newsletter.
